Start with a squad list, not a date
Before picking a date, get a clear list of every team and squad that needs covering — including house sport, representative teams and leadership groups. This is what actually determines how long the day needs to be, not the other way around.
Loop in PE and sport staff early
Team managers and PE staff usually know training and game schedules better than anyone in the front office. Looping them in early avoids double-booking squads against fixtures or assessments.
Build a block, not a single slot
Larger schools typically need a half-day or full-day block rather than a single lunchtime slot. Group squads by sport or year level to keep the schedule predictable for staff and students.
Communicate uniform expectations
Whether it’s full sport uniform, house colours or a specific kit, send clear guidance to team managers ahead of time — inconsistent uniform across a team photo is one of the most common avoidable issues on the day.
Plan for representative and finals content separately
Representative teams and finals often happen on a different timeline to the rest of the season. It’s worth flagging these dates early so they can be scheduled as a follow-up visit rather than missed entirely.
